Six steps to a precise event.

Build one clear brief

Share the date, venue, guest count, occasion, service window, audience, dietary requirements and desired atmosphere. Add the event schedule, floor plan and brand or styling references when available. A precise brief protects both creativity and execution.

Design the guest journey

Plan what guests experience from arrival to the final course. For a standing reception, consider how quickly the first drinks and bites should circulate. For a seated event, align courses with speeches and entertainment so service never competes with the programme.

Compose the menu around service

A successful event menu is not only a collection of attractive dishes. Each item must hold its texture, temperature and visual character during live service. Balance hot and cold elements, familiar and unexpected flavours, vegetarian options and dietary needs.

Confirm venue infrastructure

Ask where food may be finished, plated and stored. Confirm access times, loading permits, waste rules, fire restrictions, lift dimensions and the distance between the production area and guests. These details shape equipment, staffing and the final menu.

Plan the invisible operation

Quantities, production waves, transport temperatures, backup stock, tray circulation, clearing and replenishment should be documented. The most refined service feels effortless because the operational plan is exact.

Review the complete proposal

Look beyond the food price. Confirm what is included for chefs, service staff, equipment, tableware, transport, setup, breakdown, styling and venue-specific requirements. A site visit should happen before final staffing and logistics are quoted.

Questions to resolve before the final quote.

Confirm loading access, parking and delivery windows; preparation and plating space; power, water and refrigeration; lift and corridor dimensions; waste and fire rules; furniture and tableware responsibility; guest movement; and the distance from the service area to the event.

Service staffing and delivery should be added to the final quote after the site visit. This keeps the proposal accurate and avoids assumptions that could compromise the experience.

How early should luxury catering be booked in Dubai?

For a bespoke event, begin the conversation as early as the venue and date are known. Additional time is especially valuable for custom menu development, tastings, presentation objects, brand integration and complex venue logistics.

Should the caterer visit the venue before quoting?

A preliminary culinary proposal can be prepared first, but service staff, equipment, delivery and venue logistics are best confirmed after a site visit. Access, kitchen facilities and guest flow can materially change the operating plan.
